We are seeking an Administrative Assistant in our Golf / Building Maintenance Department for a private residential community and sporting club unlike any other.We offer benefits after 90 days to include Medical/Dental, Vision, Short-Term Disability, Life Insurance, seasonal bonus, 401(k) retirement savings plan with employer match after 6 months, and 14 days of PTO in first year.We require that all our employees are fully vaccinated for COVID-19.SUMMARY/OBJECTIVEThe Administrative Assistant is responsible for providing exemplary service in a manner consistent with the values of Windsor by demonstrating outstanding customer service while successfully assisting with staff operations to include daily job ticket assignment, uniforms, daily communications, PTO scheduling, processing forms to Accounting / HR Departments, job coordination, communications and follow up with respective departments.ESSENTIAL FUNCTIONS - Reasonable accommodations may be made to enable individual with disabilities to perform the essential functions.Assist Golf Course Superintendent, Facilities Director and Maintenance Supervisor with planning and organization of Building Maintenance Staff and Golf Maintenance Staff services to meet operational goals and budgets.Provide coding and invoice processing for payment to Accounts Payable. Manage accurate and update-to-date expenditures to maintain department budgets.Assist with Contractor / Service Provider communication, coordination, and scheduling.Coordinate Utilities - Maintain up to date inspection records for IRC Water / Sewer Utilities, IRC Fire Marshal, Fire Alarm Vendor, Plumbing, Emergency Generators, Kitchen Hood cleaning, Elevators, FPL, Telephone, Propane, and other organizations.Manage Rubbish / Recyclables program for collection and removal for Club and restaurants. Schedule, organize and oversee rubbish / recycle service providers, equipment, and related services.Perform Coding of the maintenance Facility Dude work management process. Initiate Work Tickets as requested by other departments.Work with Maintenance Supervisor to develop Preventative Maintenance instructions to be performed on equipment and entered into the Facility Dude work management program.Maintain a current list of equipment in Excel and Facility Dude.Communicate with various WC/WCA Departments in advance when intrusive work will be performed in their area.Communicate and organize the maintenance staff by working with the Catering Coordinator and General Manager for Club events.Maintain current list of approved service providers by contacting them to ensure their licenses and insurances are up to date.QUALIFICATIONS & REQUIREMENTSProficient with Microsoft ApplicationsHighly organized, detail-oriented with a strong customer-service ethicEffective and efficient communication skills, strong interpersonal skills and an ability to handle periods of high volumeExcellent correspondence writing, email communications, and scheduling abilitiesPHYSICAL DEMANDSThe physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions for this job. While performing the duties of this job, the employee is regularly required to talk and hear. This position requires standing,walking, bending, sitting for long intervals, and extensive use of computer.
